How do you switch to a new booking app without losing clients?

Switch gradually: first move your clients, services and prices, then tell your regular clients and replace the link in your Instagram bio, and keep the old app running for two more weeks. Do not move appointments already booked all at once - add future visits to the new calendar and finish the nearest ones in the old app. That way no client is left without an answer and no visit gets lost.

What to prepare before you start?

  • A client list with phone numbers: an export from the old app, the contacts on your phone or a spreadsheet.
  • A list of services with durations and prices.
  • Your working schedule for the coming weeks.
  • A list of all future appointments with the date, time, service and client.
  • Every place the old booking link appears: Instagram bio, Telegram, Google profile, business cards.

Day 1: how to move your clients?

Start with an export from the old app: if it gives you a file, save it, even if the new app cannot read it. It is your archive of visit history.

In Beauty Booking you can add clients in three ways: pick people from your iPhone contacts, open a single contact card in .vcf format, or enter a client by hand. The app brings over only the people you selected, not the whole address book, and does not duplicate someone already on your list. There is no spreadsheet upload (CSV or Excel), so if your clients lived only in a spreadsheet, first save the most active ones to your phone contacts and add the rest as they book.

Day 2: how to move services and prices?

Enter services the way clients see them: a clear name, a duration, a price. It is a good moment to drop services you have not done in a long time and to check durations - if a colouring really takes 30 minutes longer, the new calendar should know it.

In Beauty Booking the price is your own, in your currency, and the app does not convert it. If you plan to raise prices, do not combine it with the switch: clients accept one change at a time more easily.

Day 3: what to do with appointments already booked?

This is the most sensitive part. A simple order:

  • Leave visits in the next 2-3 days in the old app and run them as they are.
  • Enter every visit after that into the new calendar by hand, checking the date, time, service and client.
  • Once entered, tick off each visit on your own list so nothing is missed.
  • Do not cancel bookings in the old app until the client has the new link - otherwise they may get a cancellation notice and worry.

In Beauty Booking a visit entered by hand goes straight into the calendar. Online bookings from clients arrive as requests that you confirm, answer with another time or decline, so no online booking lands in your calendar without your agreement.

Day 4: how to tell your regular clients?

Keep it short and to the point, with no technical details. For example: "From now on you can book with me here: (your link). Your next visit is saved, you do not need to do anything." Send the message first to people who already have a future visit, then to everyone who came in over the last six months.

In Beauty Booking clients do not need to install anything: they book for free on your web page or in the Beauty Booking Telegram bot. For people who dislike signing up for new apps, this removes the main reason not to follow you.

Day 5: how to replace the link in your Instagram bio?

Put the new booking link in place of the old one in your profile bio, in your Telegram channel description, in your Google profile and in a pinned post. Add a story along the lines of "New way to book - link in bio" and keep it in your highlights for a few weeks.

In Beauty Booking a master's public page has an address like https://www.beauty-booking.biz/en/w/number_name: it shows services, prices, free times and the address. The page is available on the Lite or Pro plan. On the free plan (the first 50 appointments) the app works as your personal calendar, and clients cannot yet find you and book online.

Days 6-7 and beyond: why run both apps?

Keep both apps open for two weeks. Some clients will still tap the old link from a saved message. Check the old app every day: if a booking comes in, enter it in the new calendar and send the client the new link.

Once a week passes with no bookings in the old app and all the old visits have taken place, you can close it. Before closing, save the export of clients and history once more.

How much does Beauty Booking cost after the switch?

As of November 2026 Beauty Booking takes no commission on bookings - you pay only for the plan, and every paid plan starts with a free month.

  • Lite, for those who work on their own: $3.33 a month billed yearly ($39.99 in one payment) or $4.99 month to month.
  • Pro, with a salon: $6.67 a month billed yearly ($79.99) or $9.99 month to month - one price for the whole salon, however many masters work in it.

These are App Store prices in US dollars, and they are the same in Ukraine. All payment terms are at https://www.beauty-booking.biz/en/pro/pricing.

The master app currently runs on iPhone, and there is also a web back office; there is no Android app yet. There is also no online payment or prepayment through the app - if those matter most to you, take that into account before switching.

How do you know the switch went well?

  • Every future visit is in the new calendar, and none got lost.
  • Regular clients book through the new link without extra questions.
  • No new bookings have come into the old app for a week.
  • The link in your Instagram bio, Telegram and Google profile leads to the new page.
